Post Room Assistant – Incoming Post

The team

Estates Management is the integration of processes within an organisation to maintain and develop the agreed services which support and improve the effectiveness of its primary activities. This encompasses multi-disciplinary activities within the built environment and the management of their impact upon people and the workplace. Effective estates management, combining resources and activities, is vital to the success of any organisation. At a corporate level, it contributes to the delivery of strategic and operational objectives. On a day-to day level, effective estates management provides a safe and efficient working environment, which is essential to the performance of any business – whatever its size and scope.  Responsibilities of this team include property strategy, space management and communications infrastructure to building maintenance, administration and contract management.

The role

The Post Room Assistant will be responsible for opening, sorting and correctly stamping all post ready for delivery and assisting with delivery when necessary. Moreover, you will be responsible for driving the company vehicle to deliver and collect post to the main office and any other location as necessary.  This role will also provide support to the rest of the Estates Management Team when required. 

The post area will be covered by CCTV to adhere to client requirements.

Main responsibilities
  • To open, sort and pigeon hole post ready for distribution and use letter opener machines
  • To correctly date stamp and reference mail ready for distribution by agreed deadlines.
  • To drive the company van to collect mail from local mailing depot
  • To distribute post accurately around any of the Northampton buildings
  • To assist with ‘odds’ sorting and email circulation when required.
  • To report to the Post Room supervisor any problems with work equipment, incoming post or any other issues
  • To carry out daily vehicle checks on company vehicle i.e. refill with oil/water etc
  • To be flexible and be able to work under own initiative
  • To keep all information obtained in course of job as confidential
  • To act as a courier for any local deliveries required by the business
  • Minimum PC skills required
  • Any other duties as and when required by the Team.
Skills and qualifications
  • Clean driving licence
  • Ability to work accurately with minimum supervision.
  • Ability to work to tight deadlines with high levels of accuracy
  • Positive and professional attitude with strength of character and determination to succeed
  • Maintain high standards, setting and achieving goals. 
  • Work well under pressure.
  • Ability to identify areas requiring improvement.
  • Good organisational skills to ensure that tasks are effectively scheduled within working time available.

Background checks

Due to the nature of the work undertaken, confirmation of employment will be subject to a variety of checks which will be carried out once an offer of employment is accepted.  These checks will include employment references covering the last 5 years, proof of ID, proof of address covering the last 5 years, Personnel Vetting credit search (which will only highlight insolvency or County Court Judgments - should any adverse data show on the Personnel Vetting search then any offer of employment made will be withdrawn).Terrorism Check (against data supplied by the Bank of England) and a DBS check previously known as a Criminal Records check.
