The role

The main purpose of the role is to provide a full PA secretarial service (typing, telephone and administration assistance) supporting the Team Leader in the management of their caseload and team.  

To assist with setting up and progressing cases and taking responsibility for elements of chargeable work as required. Assisting other teams where necessary.

If the start date is before the 16th March, the role will be based out of the Basingstoke office for a temporary period.

Main responsibilities

This role includes but is not limited to the following:-

  • Typing of correspondence, documents, bills etc
  • Typing reports, file notes and attendance notes
  • Updating Excel spreadsheets
  • Provide a comprehensive general administration service to the team
  • Filing of incoming and outgoing post and correspondence
  • Photocopying/scanning etc
  • Opening and closing client files
  • Carrying out searches or company tracing
  • Arranging medical appointments, chasing of medical reports, appointments and cheques
  • To cover for colleagues’ absences if required
  • To comply with the Firm’s values at all times
  • To participate in business development and marketing activities as required to support the BD of the Department.
  • Attend a two-day clinic on a quarterly basis.

 

Skills and qualifications
  • Excellent and accurate keyboard skills, with a minimum of 60wpm typing speed
  • Good working knowledge of various applications – legis, excel, word, outlook, digital dictation (powerpoint helpful but not a necessity)
  • To maintain confidentiality at all times.
  • Positive attitude with strength of character and determination to succeed.
  • Maintain high standards, setting and achieving goals
  • Excellent presentation skills, taking care and attention in all correspondence and documentation
  • Positive attitude and keen to learn
  • Excellent communication skills – both written and verbal
  • Ability to prioritise - be organised, efficient and flexible and complete tasks effectively within specified timescales
  • Ability to digest information and prepare accurate minutes
  • Thorough organisational abilities and administrative skills
  • Loyal and discreet
  • Able to work under pressure and to tight deadlines
  • To keep up-to-date with changes in work methodology and litigation processes, including IT skills.
  • Excellent client care skills.
  • Knowledge of personal injury or litigation an advantage
