The team

Good knowledge management is at the heart of the firm’s strategic objectives.  It involves ensuring that legal advisors and other staff have efficient and timely access to the knowledge they need to do their work.  In addition to traditional library services and precedents, knowledge management covers client facing knowledge products, the intranet, online know how collections and experts databases.

The Knowledge Management team is led by the Head of Knowledge Management, Learning & Development, who is supported by two Knowledge Resources Managers and a team of professional support lawyers working within the legal practice groups.

The role

The Knowledge Management Assistant will be responsible for providing administrative support to the Knowledge Management team, assisting with various projects and initiatives as required. 

In particular, the Knowledge Management Assistant will assist the Knowledge Resources Manager with the implementation, maintenance and development of knowledge systems and databases.

Main responsibilities
  • Maintaining KM systems and databases as they are created, including responding to queries, updating content, resolving issues and conducting and co-ordinating content reviews;
  • Checking Shoosmiths precedents for formatting and house style, fixing issues and rebranding as appropriate;
  • Taking notes at meetings;
  • Managing various team members’ calendars and appointments, including arranging meetings, travel and accommodation;
  • Handling telephone and email queries;
  • Assisting with photocopying, document organisation and filing as required;
  • Undertaking any other tasks for the KM team as and when required.
Skills and qualifications

This is an opportunity for a highly organised, conscientious and efficient individual who is passionate about knowledge sharing and interested in learning about all areas of the business.

It would suit a quick-learning, self-starter who can work on projects without supervision and who has the following attributes:

  • exceptional attention to detail;
  • legal secretarial experience;
  • strong Microsoft Office and IT skills;
  • excellent communication skills (written and spoken); and
  • a “can do”, flexible attitude.
