The team

Estates Management is the integration of processes within an organisation to maintain and develop the agreed services which support and improve the effectiveness of its primary activities. This encompasses multi-disciplinary activities within the built environment and the management of their impact upon people and the workplace. Effective estates management, combining resources and activities, is vital to the success of any organisation. At a corporate level, it contributes to the delivery of strategic and operational objectives. On a day-to day level, effective estates management provides a safe and efficient working environment, which is essential to the performance of any business – whatever its size and scope.  Responsibilities of this team include property strategy, space management and communications infrastructure to building maintenance, administration and contract management.

The role

We are looking for an enthusiastic person to join our Estates Team in our busy Birmingham office.  You will be the Team Leader for the Reprographics Team and will also work closely with the Regional Estates Manager and Client Services Team Leader

Main responsibilities
  • Build a comprehensive understanding of the Reprographics department and all its requirements
  • Deal with all queries that arise throughout the day with a solution focussed approach
  • Working within the Estates team to co-ordinate, time manage and oversee all high-volume reprographics requests, whilst liaising with the business in order to establish workloads and priorities for the team
  • Carry out tasks alongside the team  
  • Quality control check all work produced by the team, including (but not limited to) the daily post, reprographics, media reproduction, deeds and archiving
  • Purchase and invoicing of stationery and reprographic consumables
  • Archiving and deeds management
  • Conduct 1 to 1’s, manage and approve absence for your team
  • Knowledge share appropriately to achieve continual high standards from all team members
  • Be the point of contact and build a professional relationship with all Reprographics contractors and engineers
  • Maintain equipment in accordance with national practices
  • Assist with Health, Safety and Environmental duties where appropriate, including assisting with Fire Evacuation Strategy and being a Deputy in the absence of the REM.
  • Updating team work processes
  • Record keeping of jobs to feedback the cost analysis to the Finance team on a weekly basis
  • Assist with any large-scale reproduction projects for other offices as well as Birmingham
  • Assist with internal office moves
  • Assist at other offices on occasion
Skills and qualifications
  • Preferably minimum of three years’ experience of supporting, leading and managing a team within a legal business services team
  • Ability to lead and create a positive and energetic atmosphere
  • Approachable with self-confidence and can demonstrate initiative
  • A proactive and solution focussed approach to workload and pressures
  • Good working knowledge of various applications including but not limited to word, excel, outlook and transferring of digital media
  • Articulate with the ability to communicate in a professional manner at all levels
  • Excellent time management with the ability to be hands on as well as delegate appropriately and fairly
  • The ability to support, encourage and work alongside colleagues
  • Ability to deliver a high standard of service to both internal and external clients
