The team

Estates Management is the integration of processes within an organisation to maintain and develop the agreed services which support and improve the effectiveness of its primary activities. This encompasses multi-disciplinary activities within the built environment and the management of their impact upon people and the workplace. Effective estates management, combining resources and activities, is vital to the success of any organisation. At a corporate level, it contributes to the delivery of strategic and operational objectives.

On a day-to day level, effective estates management provides a safe and efficient working environment, which is essential to the performance of any business – whatever its size and scope.  Responsibilities of this team include property strategy, space management and communications infrastructure to building maintenance, administration and contract management.

The role

An opportunity has arisen for an Estates Assistant to join our London office. The role is within our Estate Management Team, reporting to the Assistant Estates Manager.

The successful candidate will provide a comprehensive and excellent service to both our internal and external clients, assistance in the organisation, management, and co-ordination of all Estates Operations, mainly including but not limited to Reprographics, post room and administration.

Main responsibilities
  • All reprographics tasks to include scanning and delivery of incoming post, printing and copying requests, ordering, and managing print and stationery, archiving of files and deeds and franking and preparing outgoing post.
  • Providing a support service to others in the team where required and to cover any shift pattern absences within the rest of the team where necessary.  All members of the team are required to have the capability of picking up all duties.  Full training will be provided.
  • To provide cover and assistance for front of house duties to include meeting room setups, events and ordering of consumables. 
  • To assist the assistant estates manager with health and safety and administration tasks to include new starter inductions, DSE assessments and invoicing.
  • Deal with day-to-day facilities queries, logging engineer call outs and ensuring engineers attend site and provide adequate supervision.
  • Complete all relevant training.
  • Any other duties as required.
Skills and qualifications
  • Ability to work accurately with minimum supervision.
  • Ability to work to tight deadlines with high levels of accuracy.
  • Positive and professional attitude with strength of character and determination to succeed.
  • Flexibility with the capability to adapt to change, new practices and cope under pressure but with the ability to recognise when to seek assistance.
  • Good organisational skills to ensure that tasks are effectively scheduled within working time available and with good administration skills.
  • Excellent customer service experience with emphasis on dealing with clients and customers both face to face, via email and over the phone.
  • Able to integrate within a team and to work on your own initiative.
