Purpose of the job

To provide a proactive, efficient, cost effective and high quality office support function to ensure the smooth running of the Singapore office.  This is a broad role that will evolve as the team grows and will encompass a range of office/premises management tasks, as well as supporting the fee earners with the delivery of their fee earning and business development activities. The role will require strong administrative skills and the ability to multi-task effectively.

 

Main responsibilities

Office:

  • To manage all aspects of the premises and facilities and any third party contractors
  • Setting up rooms and meetings as required, including refreshments
  • Management of office supplies and stationery
  • Taking responsibility for security and safety systems in place
  • Office reception duties as required
  • Management of incoming and outgoing documents (i.e. post, DHL, special deliveries etc.)

Supporting the fee earners:

  • Assisting in the preparation of reports, correspondence/bundles and collation of legal documents
  • Filing, scanning and management of documents
  • Assisting with collating CDD as required and with the billing process
  • Sending, retrieving and filing e-mails for fee earners as requested
  • Copy typing, scanning and photocopying
  • Making up files as required
  • Supporting business development initiatives – to include planning meetings, travel and accommodation bookings, itinerary's and managing all aspects of the setting up of in-house and local events

 

General

  • Ensuring compliance with all relevant legislation in place, to include health and safety
  • Management of the firm's SingPass as appropriate and delegated by the partners
  • Assisting with any ad-hoc duties or projects that may arise from time to time

 

Knowledge/skills/experience

  • Fluent in English. Mandarin Chinese & Malay language skills beneficial.
  • Prior experience in a professional services firm, a legal environment would be beneficial but not essential
  • Confident IT user with a good working knowledge of MS Office to include Word, Excel, PowerPoint and Outlook
  • Experience of document management systems would be helpful
  • Excellent typing and formatting skills
  • Highly organised, with the ability to juggle tasks and prioritise effectively
