Purpose of job

Birketts is now recruiting for a HR Administrator to come and join our friendly team on a full time, permanent basis at our centrally located Ipswich office, where you will provide comprehensive and effective administrative support to the HR team.

Accountabilities

The successful HR Administrator will support the HR team as required in the administration provision and query management of the following activities in relation to  day to day running of the HR function, including:

New Starters

  • Draft employment contracts.
  • New starter process ensuring that all required documentation has been received, updating electronic HR files, providing excellent candidate experience, organising a ‘buddy’ and sending a welcome email with log-ins and communicating induction.
  • Employment vetting checks, including references, SRA checks and right to work, ensuring compliant to the level set by Birketts.

Cascade (HR System)

  • Prepare reports for holiday, cancel /amend holiday requests.
  • Log sickness and ensure completion of employee certification process.
  • Ad-hoc reports as necessary.

Leavers

  • Assist HR Officers with the leaver process to ensure that the information is processed in a timely manner.
  • Respond to all employer reference requests.

Early Careers support

  • Prepare contractual paperwork for interns, apprentices and trainee solicitors.
  • Assist the early careers team with the administrative elements of the trainee solicitor and apprenticeship programmes including recruitment, onboarding and processing team changes.
  • Assist with logistics for careers fairs, interviews and trainee events.
     

 Recruitment

  • To support the Talent Acquisition Managers in managing the end to end hiring process for junior hires as and when required. This includes processing applications, screening candidates and arranging interviews to support the successful closing of open positions with high calibre hires.
  • When required, assist with sourcing active and passive candidates through diverse talent pipelines including advertising, job boards, LinkedIn, CV databases, recruitment agencies and other resources.

General

  • Create and maintain electronic employee files and archive when appropriate.
  • Provide administrative support on HR projects as required.
  • Administration of the firms benefits for car park, eye care, gym membership and season ticket loans.
  • Production of scheduled and ad hoc letters e.g. probation confirmation, ad hoc award letters.
  • Assisting with process improvement.
Skills
  • Experience of providing a customer driven administration service.
  • Able to demonstrate excellent customer facing skills and interact positively with multiple stakeholders at all levels within the firm.
  • Ability to work at a fast pace but still have a high level of attention to detail and accuracy.
  • Excellent written and verbal communication skills with the ability to multi task and work to tight deadlines.
  • Strong planning and organisational skills with a ‘can-do’ approach to managing a varying workload.
  • IT Literate.
