The Team

The Marketing Team at Farrer & Co is responsible for the development and implementation of the firm’s marketing strategy, including profile and reputation, marketing communications, and business development.  This also extends to all aspects of marketing planning, brand management, communications, events, CRM, business and market analysis, and business development, including pitches and tenders.

Scope
  • Supporting the Business Development Client & Market types (pillars) to implement a successful strategy by providing administrative support to the relevant Business Development Managing Partner, sub-sector heads and business development managers (BDM).

  • Working alongside the marketing and BD team to create a precedent bank and establish best practice.

Responsibilities

Document and intranet management

  • Co-ordinating chasers for deadline of business development plans, budgets and other key strategic documents/papers.

  • Creating folder system to collate all key business development and management related document on behalf of the pillars.

  • Creating and managing document library for all external research reports and information management reports.

  • Creating and managing document libraries to organise marketing material.

  • Management of the BD intranet page for the Pillars, including uploading documents and relevant information, making recommendations for layout and improvements for the relevant intranet page/pages and ensuring all information is current and up to date.

Budget and invoice managements

  • Managing invoicing to ensure allocated to the corrected budget code and sufficient narratives recorded to help effectively analyse spend.

  • Liaising with Finance to ensure regular reports on budget spend are provided to the BDMPs, Sub-sector heads and BDMs as appropriate.

  • Booking hotels, travel, claiming back expenses for those involved in key overseas BD activity.

Client events management

  • For "flagship" pillar events:

    • Liaising with speakers for notes, biographies and timings.

    • Attending key pillar events to help with the registration and meet & greets.

    • Confirm numbers, dietary requirements and organises timings with catering. Room booking and set up with facilities.

    • Supporting the fee earners with presentation formatting.

  • For other pillar related events:

    • Working with the marketing and BD team to supporting the relevant secretaries responsible for organising client events to ensure best practice approach and processes are followed.

InterAction Management

  • Ensuring all relevant fee earners have added their contacts to the list, and the list is correct and final when sending to Marketing to send out any e-vites.

  • Working with the fee earners and BDM to ensure InterAction list is correct and finalised before going to marketing.

  • Managing target mailing lists and ensuring fee earners update their BD activities as appropriate. NB: Setting up the InterAction list would be managed by the marketing systems team.

Meeting management

  • Supporting the BDMs to co-ordinate BD meetings on behalf of the BDMPs, for example:

    • Regular BDMP and sub-sector catch-ups on progress against plans and budgets.

    • Attending and taking minutes at key meetings.

Document Production

  • Supporting on the production of presentation materials ie partner conference and quarterly updates.

  • Working with the BDMs to produce regular BDMP reports for the CMP and Management Board.

Other

  • Maintenance of the pillar internal email distribution lists to ensure up to date and clearly communicated to the team on use.

Education and Qualifications
  • Qualified to GCSE standard, grade C (or equivalent) at Mathematics and English essential.
Special aspects
  • The hours of work for this opportunity are 9:30am to 5:30pm but it is essential to be committed, flexible and prepared to work beyond the normal office hours when necessary and in response to client demand.
