Scope
  • To provide comprehensive, day to day administrative and project support to the firm’s central KM team and championing the team and its role in meeting the firm's strategy.
  • To provide administrative support to the wider KL&D team, as required, to meet the KL&D team’s strategic objectives and budget responsibilities.
  • This is a varied role with high levels of autonomy and responsibility, allowing you to get involved with all aspects of KM (both technology and non-technology based) as well as business as usual work.  
Responsibilities

Knowledge Management

Helping to deliver the firm's knowledge management solutions by providing administrative support in relation to our central KM tasks, projects, and services:

  • Taking and compiling minutes during meetings
  • Assisting with diary management and arranging meetings
  • Assisting in the budgeting process
  • Expenses and invoicing administration
  • Constructing/formatting KM communications
  • Developing and maintaining intranet pages and KM materials/resources
  • Key point of contact for our knowledge database
  • Working with Head of KM and our IT department in the management of the firm’s knowledge database 
  • Managing the firm’s membership database
  • Supporting the Head of KM (and wider KM team) with any project need
  • Undertaking a supporting role when exploring new legal technologies/KM solutions and training programmes
  • Liaising with external suppliers/providers
  • Providing additional admin support for Cognizant (our learning management system) and Panopto (our training recordings database) as required

Working with the Head of KM in promoting and developing knowledge sharing throughout the business through:

  • Encouraging collaboration between Knowledge Lawyers to develop resources that can be used in common across different parts of the firm
  • Encouraging standardisation of the manner in which know-how resources are described, stored and indexed to enable them to be located and used
  • Working with those teams in the firm that do not have Knowledge Lawyers to encourage production of and access to KM resources for those teams
  • Co-ordinating across the firm the introduction of new legal tech products that require Knowledge Lawyer involvement such as document production and e-signing platforms
  • Encouraging the use of knowledge sharing tools in a virtual world

KL&D General

  • Provide diary management, admin and minute taking support to the Director of KL&D
  • Support with the KL&D budgeting process and assisting senior KL&D management in monitoring KL&D annual spend
  • Maintaining KL&D team intranet pages
  • Expenses and invoicing support for KL&D team (including grad recruitment)
  • Dealing with general administrative queries for the wider KL&D team
  • Creating, formatting and managing the KL&D communications via email and intranet announcements
  • Creating and formatting KL&D team documents eg team sheets, structure diagrams
Skills and Experience
  • Confident user of IT systems including Microsoft Office
  • Aptitude and interest in technology
  • Experience or an interest in knowledge and information related work
  • Educated to degree level in a relevant area (this is preferred but not essential) and/or proven experience of administrative/KM support in a commercial environment

  • Proactive and prepared to use initiative
  • A quick learner
  • Ability to work with minimum supervision, in an autonomous and independent way, taking ownership of tasks and projects
  • High degree of commercial awareness with the ability to contribute to the wider business and the knowledge agenda

  • Excellent organisational skills with the ability to multi-task and prioritise work
  • Team player with an enthusiastic manner

  • Your hours of work are 09:30am - 5:30pm but it is essential to be committed, flexible and prepared to work beyond the normal office hours when necessary and in response to team and client demand
