Responsibilities

The Manchester based LSA will provide junior secretarial, administrative and clerical support to the London office by assisting and supporting the senior secretaries with tasks included in, but not limited, to the list below.  This LSA will support all Partners, fee earners and secretaries under the supervision of the senior secretaries as follows:

  • Processing of invoices and expenses across all Business Services Departments and for the Silicon Valley office.
  • Providing support with researching travel arrangements for the Central Management team.
  • Arranging departmental meetings across Business Services.
  • Assisting with due diligence checks and arrangements for new partner joiners.
  • Booking meeting rooms using the online Condeco system.
  • Ad-hoc copy typing and manuscript amends in both Word and PowerPoint.
  • Picking up dictations for the Risk team.
  • Providing team cover during absences.
  • Updating event lists in Interaction.
  • Acting as a point of contact on behalf of a Partner for larger events.
  • Organising printing and collating of event information packs and slide decks.
  • Supporting registration at events in the Manchester office.
  • Helping to run mail merges to create badges for events.
  • Providing support with researching travel arrangements for the European Partners' Conference.
  • Providing administrative support for European Partners' Conference and Update.
  • Vuture invitations: inserting text into pre-set template, formatting and linking of landing pages.
  • Vuture/Emails alerters: inserting text from fee-earners into pre-set templates and formatting text of email so it can be sent out.
  • Umbraco/External website: creating publication pages for fee-earners and sending to Marketing Comms for publishing, as well as updating text and photos on existing biography pages.
  • Editing our various websites and assisting with social media.
  • Updating and managing publications lists and company name/address updates via Interaction.
  • Updating/managing fee earner contact data/client billing information.
  • Helping to diarise directory interviews in Partner diaries as requests come through.
  • Help with researching names and contact details for cold calling prospects.
  • Updating intranet pages for a practice area (dependent upon the practice area).
  • Formatting directory submissions, referee spreadsheets.
  • Reconciling the Marketing Department credit card.
Key Skills & Experience
  • The ideal candidate will have relevant experience gained in a similar role within a professional services/law firm.
  • Will have good IT skills and be able to use Word and Outlook – Powerpoint and Excel would be helpful but not absolutely necessary.
  • Good communication skills with the ability to liaise and work well with Partners, Associates, Fee earners, Business Support staff and other secretaries
  • Typing speed at least 45-50 wpm, but will be expected to develop to a higher speed
  • GCSE Maths and English essential for the role, with good grades
