The Team

The Tax and Structuring Group

Fieldfisher's Tax and Structuring Group's work includes both advisory and transaction related work for businesses and private clients including social enterprises with many areas of expertise such as equity incentives, funds, media, property, intangibles and VAT. We work with our clients to structure their organisations and transactions efficiently; and we help our clients manage their ongoing relationships with HM Revenue and Customs.

Our clients span the firm's specialist sectors. They range from multinational groups through to high-net-worth individuals. We work collaboratively with our clients to achieve the best possible results for them. Our commercial pragmatism stands us apart: as well as tax lawyers, we are business advisers.

Our group comprises 7 partners and 7 other specialist lawyers.

The Employee Ownership and Mutuals team

We have a firm-wide team that has many years' experience in advising on employee ownership and public service mutuals. We have been at the forefront of developing law and practice in this area in the UK and abroad, and are widely recognised for our experience and expertise.  We advise owners who wish to transform their businesses into employee owned companies. We help existing employee and trust owned businesses maintain and develop their employee ownership structures.  The head of the firm's Employee Ownership and Mutuals Team, Graeme Nuttall OBE, and many of its members are based in the Tax and Structuring Group. 

This Legal PA role will, in particular, involve working with two partners and a senior associate within this team based in the Tax and Structuring Group.

Responsibilities
  • Handling new business enquiries Dealing with new business enquiries that come via switchboard or when partners/fee earners are unavailable

  • Client care Liaising with new clients. Preparing client care letters and obtaining ID documents for new clients. Making conflicts checks. All with direction from partner/fee earner

  • Diary management responsibilities including making appointments, organising meetings and ensuring the smooth running of such meetings including arranging IT support etc. as appropriate.

  • File management responsibilities   Opening and closing files.  Undertaking e-mail management (manage inbox and file e-mails), ensuring that urgent emails are promptly handled.

  • Proactive client liaison including being a trusted point of contact for clients. Taking messages, passing on information and dealing with simple queries.

  • Working collaboratively with other secretarial support to provide a responsive and professional secretarial support service to fee earners and clients.

  • Management and co-ordination of the Partners’ billing requirements

  • Audio and copy typing of legal documentation and correspondence to a high standard.

  • Managing the production of documents (even those not typed personally) from initiation to delivery back to the relevant fee earner, involving Document Specialists as required.

  • Organising conference calls on behalf of the fee earners.

  • Organising attendance at conferences etc including transport and accommodation, documentation for international travel, as required.

  • Maintaining CRM details by updating InterAction and maintaining fee earner contact lists.

  • Maintaining contact with employee ownership (EO) sector bodies and individuals

  • Supporting the production of marketing and business development (BD) documents e.g. preparing alerters, presentations, contact sheets etc.

  • Supporting BD and EO events Including arranging, for example, official visits, seminars and new research launch events

  • Supporting the EO and Mutuals team's social media presence

  • Maintaining the EO and Mutuals team's website entries

  • Any additional ad hoc tasks as required.

Key Skills & Experience
  • Experienced Legal Secretary/PA

  • Must have experience building relationships with clients, client PAs and intermediaries.

  • Must possess excellent diary management, organisation and prioritisation skills.

  • Must be able to communicate effectively and build good relationships with clients, contacts and staff within the firm.

  • Must work well as part of a team.

  • Must be a competent, fast and accurate typist.

  • Must be competent at producing legal documents to a high standard.

  • Professional telephone manner and the ability to handle information accurately.

  • Sound technical skills in the following areas:

    Microsoft Office IT skills – Word, Excel, PowerPoint, Publisher, Outlook (Fieldfisher uses Microsoft 2010).

  • Proven document or case management skills (Fieldfisher use Worksite).

  • Proven experience of using a legal computerised finance system (Fieldfisher use LexisOne).

  • Proven experience of using a Client Relationship Management system (Fieldfisher use InterAction).

  • Ability to manage LinkedIn and/or other social media accounts

  • Minimum typing speed of 65 wpm with a good level of accuracy.

Personal attributes:

  • Must be able to pre-empt and demonstrate initiative in ensuring the workload is managed efficiently maintaining effective communication with the fee earners and clients at all times.

  • Must have a ‘can do’ approach and be willing to develop the role to ensure a high level of unsupervised support as far as can be attainable is provided.

  • Must be able to work autonomously and aim to resolve problems, identify solutions with minimum of supervision and direction.
