The Team

The role of revenue assistant will sit within the revenue team within the central accounts team. With continued demand from clients on providing alternative billing arrangements and due to significant increased business growth, the firm continues to face challenges in managing its working capital effectively. There are continued pressures on ensuring that we maximise the conversion of time worked to cash as quickly and effectively as possible. It is essential therefore that we have a robust and effective revenue and debt management process which is both structured to ensure that there is greater business partnering with partners and fee earners and greater client knowledge build up, as well as being adaptable to the changing pricing and legal purchasing requirements of our clients.

The primary role of the revenue assistant will be threefold:

  1. to work closely with the secretarial and partner group to ensure that all financial information required at the point of opening a new client or matter is captured in full and is accurate. This will include, but is not limited to, checking addresses, checking rates, checking VAT details, confirming billing profiles and any other aspects of opening Matter and Client data maintenance.
  2. To be responsible for maintaining this data through the life cycle of the matter and making any necessary changes as required.
  3. To assist the revenue and accounts teams with other standing data maintenance and ongoing matter management as and when required which may include time transfers, rate revaluations, submission of billing guides and write-offs.

The intention and importance of the role is to ensure that the accuracy of this core data is correct at the start of the revenue cycle and that any changes are processed quickly during the matter cycle. This in turn will lead to increased efficiencies during the life of the matter in terms of quicker and more accurate billing, greater clarity for the client and quicker conversion of the time worked into cash.

The role of the revenue assistant will require a quick learning curve to understand all aspects of the revenue cycle in a professional services firm, a full time visible presence and interaction with secretaries and partners and a key interaction with other functions within the accounts team. The role will work closely with the revenue controllers who have a broader remit to ensure the overall revenue cycle is working efficiently.

Responsibilities
  • Responsible for reviewing and maintaining the completeness and accuracy of the financial data captured at Matter and Client inception.

  • Working with revenue controllers, secretaries and partners to understand the matter set up and ensure all billing arrangements are correctly reflected in the matter contracts and set up.

  • Ensure we have captured the correct client and matter billing addresses.

  • Ensure all relevant time and disbursement recording codes are populated as required to ensure effective and prompt time recording.

  • Ensure all agreed rates and discounts are captured and populated as required

  • Ensure correct VAT codes are applied to ensure accurate VAT treatment.

  • Assistance with the Distribution of partners WIP lists and billing guides

  • Assistance with processing matter transactions resulting from reviewed billing guides. This would include, but is not limited to, WIP transfers, rate revaluations and write-offs and closures)

  • Responsible for dealing with final matter closure.

  • Maintains adequate records of conversations with partners and actions arising from meetings and conversations

  • Assisting with producing any matter specific information requested from clients or partners – eg any client WIP reports or billing histories are reported in accordance with agreed provisions

  • Assistance with fee earner queries on time recording

  • Assistance to the revenue team during peak periods and with ad-hoc projects

Key Skills & Experience
  • Can develop strong working relationships with secretaries and partners

  • Must be able to communicate effectively with secretaries, partners, partner groups and the revenue team in a professional and personable manner. This is a key role for the visibility of the accounts team and so must be professional and presentable at all times.

  • Needs to be persistent in arranging meetings and in obtaining information.

  • Needs to be able to provide value and quality in all reporting, ensuring data reported is accurate and timely.

  • Needs to have strong numeracy and communication skills with a strong attention to detail

  • Strong ability and work ethic to meet deadlines under pressure with an ability to manage high volumes of transactions daily
