The Team

The HR department is responsible for the provision of a full range of HR services to the Firm (c. 700 UK staff), including recruitment and resourcing, compensation and benefits, performance management, employee relations, staff welfare, advice on employment law issues, compliance with Law Society/statutory obligations, appraisal arrangements and maintenance of personnel records. The role will report to and provide support to the Reward Manager on management of our reward policies, and benefits and payroll.  You will be the key contact and provide advice and guidance to colleagues and managers.

Responsibilities

Reward & Benefits

  • Maintaining and updating the online benefits portal including adding new starters, updating site with changes and removing leavers. Liaising closely with the online support team to resolve any system errors and ensure all data is checked thoroughly each year
  • Updating the HR database and payroll sheets with employee and benefits data
  • Processing benefit requests received including updating monthly provider and payroll reports.
  • Liaise with benefit providers and account managers to ensure membership details are correct through completion of eligibility reports, solve any issues and process invoices within timescales
  • Acting as a key point of contact for corporate discounts including updating current offers, sourcingnew offers and promoting the discounts available
  • Working closely with the Reward Manager to manage the annual flexible benefits firm wide renewal process including data checking and cleansing, site testing, content amendment, communications and updating records.Support the Reward Manager with finalising benefit renewal terms with our external broker
  • Providing analytical support by completing the annual salary review analysis and providing a summary of findings.Work with the Reward Manager to feed this data into the salary stance and budget for the year ahead
  • Complete job evaluation for across the business working closely with other HR colleagues and managers to ensure roles are consistently graded and in turn paid in line with market rate. Maintain the job evaluation spreadsheet ensuring that information is up to date.
  • Manage the monthly employee awards scheme including maintaining the long service tracker, gathering nominations, promoting the scheme and organising prizes
  • Provide support and training to the HR Apprentice delegating work as required and ensuring its successful completion.

Payroll

  • Assume responsibility for processing UK payroll changes in the relevant month by updating the monthly payroll spreadsheet for our external payroll bureau. Ensuring data is sent to our external payroll bureau by the relevant deadlines.
  • Liaising closely with our external payroll bureau to ensure changes are accurately processed and resolve any issues that arise. Working with the Reward Manager ensure a thorough check is completed each month
  • Ensure we comply with pension auto-enrolment legislation by processing relevant reports, checking communication and employee pension contribution changes
  • Assist with the compilation of data for P11Ds
  • Processing USA payroll changes including pensions onto the external payroll software and ensure payslips are accurate.Update the pension system each pay period to ensure the correct bank charges are made

Other

  • Working with the Reward Manager to support and where relevant lead on projects including salary review, total reward statements, employee benefits annual window, bonus scheme and recognition scheme. Take responsibility for sections of the project plan.
  • To update the HR system ensuring employee records are accurate and update and maintain the electronic HR filing system.
  • To provide support and training to members of the HR team as required
  • To analyse employee data and trends providing key management information to senior managers.
  • To organise meetings and events on behalf of team
  • Responding to queries via telephone, email and face-to-face, from both employees and partners
  • Content editing the HR webpages on the intranet, posting online updates on the e-noticeboard and liaising with the Marketing Team as appropriate
Key Skills & Experience
  • A Levels and above
  • Excellent attention to detail with good communication (written and verbal) and experience with acting as a key point of contact for queries
  • Excellent time management skills including experience of managing projects
  • A strong level of PC literacy including the ability to use MS Office (specifically Word, Excel and Outlook) to produce letters and communication, maintain records, cross check data between different systems and/or spreadsheets and use outlook effectively to communicate. Ideally ability to use excel to analyse data to inform reward decisions
  • Ability to work closely with colleagues to deliver agreed objectives within timescales and ability to liaise closely with external providers building relationships to support a productive working relationship
  • Significant experience of working in an HR role including updating systems and spreadsheets.
  • Experience of working in HR ideally including experiencepayroll and/or employee benefits and reward
  • Ideally experienced in working at an advisory level to take responsibility of work streams, manage projects and deal with sensitive and complex employee issues
