The opportunity

We are looking for an Executive Assistant to support the Senior Partner and Head of Corporate. This is an exciting opportunity to shine and progress in a role within a firm that actively strives to be the best in the industry and is committed to the development of its people.

Responsibilities

The Executive Assistant will take an active interest in and obtain a thorough understanding of all aspects of client requirements in order to provide an exceptional service.

Senior Partner Responsibilities will include:

  • be responsible for accurate, efficient and proactive diary and email management. This includes: the organisation of internal and external meetings ; conferences ; client lunches and social events ; travel and logistics for diary commitments (UK and overseas);
  • be responsible for client matter administration, including client on-boarding, AML processes, creation of work schedules, client agreements, billing;
  • be a key liaison point with the firm's senior executive team to enable the smooth running of the firm;
  • prepare documents and reports for the Senior Partner, Chief Operating Office and our Partnership Board, including the collation and distribution of board and executive level agendas, reports and minutes;
  • track actions from the Partnership Board (PB) / Heads of Department minutes, chasing as appropriate to ensure movement / completion;
  • ensure our Senior Partner is prepared for all management meetings, including RemCom papers;
  • update our CRM system with Business Development activities and relevant contact information;  and
  • manage some personal adhoc admin support, e.g. diary, travel, logistics.
  • support the Head of Corporate with the smooth running of the department’s administration, for example, the generation of the Corporate department pipeline document, holiday approvals, deal review meetings, organising appraisal meetings etc;
  • be responsible for client matter administration, including client on-boarding, AML processes, creation of work schedules, client agreements, billing, specific client annual and quarterly reports;
  • update our CRM system with business development activities and relevant contact information;
  • support his role with the Canada-UK Chamber of Commerce with diary logistics, administration and preparation
