The opportunity

To provide and maintain a great client service to the Visitors, Partners and staff of our busy City Legal Firm, whilst maintaining a friendly professional approach. The client services team operate in a fast-paced environment so multi-tasking under pressure is a requirement of all team members.

Responsibilities
  • pening up and preparing the Reception and meeting rooms for the day ahead.
  • Greeting clients and visitors on arrival.
  • Managing the switchboard efficiently; answering all calls in a professional, friendly manner.
  • Liaising with colleagues to manage all meeting requests; responsible for the efficient running of the daily calendars for our 11 meeting rooms using Outlook.
  • Responsible for setting up of IT equipment (inc video conferencing) in meeting rooms.
  • Responsible for ordering any external catering needed for meetings.
  • Responsible for preparing the catering (and refreshments) for all meetings (including Breakfast, Lunches and Dinners).
  • Maintaining stock levels and supplies within meeting rooms and T Points.
  • Keeping Meeting rooms and T Points clean at all times.
  • Preparing new starter passes.
  • Keeping an accurate record of temporary passes and keys.
  • Ad hoc copying and scanning for visitors.
  • Administrative duties.
  • Building strong friendly relationships with other departments to create a great team ethic
  • Working with the Marketing team to plan, set up and host events.

  • Confident in using Microsoft Office suite (Outlook, Excel and Word)
  • Experience of working in a busy environment
  • Excellent organisation and prioritisation skills.
  • Excellent communication skills, with the ability to adapt and communicate with colleagues and clients in a highly pressurised environment.
  • A professional telephone manner.
