The Administrative team are responsible for providing administrative support to the Private Client Teams based at The Bury to include document management, front of house and facilities assistance. The role is to provide a high quality administrative support service to the Private client teams and their clients in line with the firm’s standard of performance.

Key Responsibilities
  • Collection of Royal Mail post from Chesham sorting office (occasional basis only for annual leave cover)
  • Assistance with opening of all incoming DX and Royal Mail Post, date stamping and delivering to relevant Partner or fee-earner.  Dealing with any unidentified post
  • Sorting of outgoing mail into DX and Royal mail deliveries and arranging evening “on line postal” entry/DX collection
  • Reconciling of “on line” postal account
  • Document management tasks to include photocopying, scanning, binding, PDF printing, disc downloads etc.
  • Assisting archivist with scanning of files for archive and secure culling
  • Ordering of stationery for Chesham office and reconciling delivery notes and invoices
  • Delivery of stationery request to fee earners
  • Ensuring all printer/photocopiers are replenished daily with headed, engrossment and plain A4 paper
  • Post and accounts collections from internal trays x 5 daily
  • Afternoon banking of incoming cheques (rotational basis)
  • Monitor the ordering of water supplies and replenishing dispenser
  • Assistance with setting up of webinars video conferencing etc.
  • Printing of webinar notes
  • Liaison with IT department regarding technical issues which cannot be handled remotely
  • Assistance with co-ordinating of office/furniture moves with external removers
  • Retreival of RMS record requests.

 

Person Specification

Education & Skills

  • GCSE’s or equivalent at A-C or 6-9 with a grade A or equivalent in English Language
  • Previous experience of working as an Administrator within an office environment.
  • Experience of working within a law form (desirable)
  • Good communication skills (written and verbal) skills.
  • Confident, polite and calm manner when dealing with people over the telephone and face to face.
  • Ability to prioritise and show initiative.
  • Enjoy interacting within a team environment, but also ability to work alone and at times with little supervision.
  • Well organised and able to work to deadlines.
  • Ability to demonstrate a commercial awareness and professionalism always.
  • Basic computer literacy with Microsoft Word, Outlook and excel.
  • Strong numeracy skills.
