The department

We have a substantial IP practice within the CMI Division which consists of over 50 lawyers, attorneys and specialist support staff practising in this area.  We are recognised in Chambers, Legal 500 and WTR for a number of IP related fields including trade mark filing and prosecution, IP litigation, advertising, brand management, sport and media and entertainment. 

Our trade mark prosecution client base is varied; from global brandowners to start ups, however, much work is focussed on the following sectors: advertising/marketing, retail, fashion, entertainment, technology automotive and sports.

We are looking for an enthusiastic and hardworking Trade Mark Administrator (Renewals) to join our busy team.  The successful candidate must have a professional manner and excellent communication and interpersonal skills and enjoy working in a team environment.  They will need to have excellent numerate skills, be highly organised and have a flexible nature as well as a co-operative and willing attitude.

Responsibilities
  • The main aspect of the role is to take the front line role management for the renewal of trade marks; including liaising with foreign associates and registries and assisting with powers of attorney, notarisations and evidence of use; as well as liaising with clients in a timely manner to ensure that these are managed efficiently.
  • Reviewing the developing needs of the practice to ensure the records database remains appropriately used and suggesting and implementing procedural changes as required.
  • Preparation of forms and related documentation for filing trade mark applications; renewals; assignments; licences; changes of name and other title details.
  • Running a docketing diary, issuing reminders to Solicitors/Trade Mark Attorneys and ensuring that the diary for relevant cases is always current.
  • Reporting to clients details of new trade mark applications, publication notices, registration and renewal certificates.
  • Due diligence related to trade mark and IPR portfolios including auditing of data from national IPO and other commercial databases.
  • Trade Mark Records database updates - use of the firm's database to ensure all activity is docketed and able to be audited at all times.
  • Trade Mark administration – other duties as may be required to ensure the smooth running of the trade mark administration team.
  • Providing absence cover for other team members as required.

IT skills required:

  • Sound IT skills – experience of Word and Excel.  Although not  necessary, experience of Elite or a similar system would be beneficial. Full training on document management and practice management systems will be provided.

Professional qualifications required:

  • CIMTA Paralegal qualification would be an advantage, although not a requirement.
