We are recruiting for a Departmental Assistant in our Creators, Makers and Innovators Division.

This is a challenging role offering actual experience working in a legal environment.  It may suit a candidate with an interest in learning more about a career as a legal secretary.  The successful candidate must have excellent communication skills and enjoy working in an involved team environment.  They must be highly organised with a flexible nature and a co-operative and willing attitude

Responsibilities

The jobholder will provide administrative support and assistance to the PAs in the Commercial Team and the wider CMI division on a day to day basis.

General Administration

  • Collection and distribution of post/bills

  • Responsible for scanning and photocopying

  • Maintaining stationery supplies for the team

  • Assisting with distribution of papers for meetings (i.e. know how, partner meetings)

  • Assisting the marketing team to complete marketing packs and badges, assisting with seminars

  • Assisting with travel requirements (i.e. booking taxis)

  • Organising couriers

  • Assisting with maintaining the Interaction database

  • Monitoring team Outlook inboxes

  • E-filing as requested

  • Liaising with Reprographics on large print requests

  • Carrying out external local deliveries as required when outdoor clerk is not available

  • Engrossment of basic documents (ie not documents with annexures) and organising for them to be bound

  • File archiving

Billing & Finance

  • Responsible for the scanning bills

  • Processing disbursements/payment requests

  • Administering expenses

  • Under guidance and supervision, raise pro formas from auto billing

  • Assisting with billing projects

File Inception

  • Under supervision, completing new matter requests

Additional information

Specialist experience:

  • Some office work experience would be an advantage.

Abilities and desired qualities:

  • Typing skills (40 wpm).

  • Good eye for detail.

  • Excellent organisational skills.

  • Good communication skills.

  • Ability to meet deadlines and work under pressure.

  • Professional in conduct and appearance.

  • Punctual at all times.

  • The ability to work overtime when required.

IT skills required:

  • Some experience or knowledge of Word, Excel, document management systems and Outlook would be beneficial, although not essential as full training will be provided.

Educational and professional qualifications required:

  • Good grammatical English - at least to GCSE standard or equivalent.
