Responsibilities
  • Maintaining fee earners’ diaries;
  • Schedule internal and external meetings and events, ensuring that all arrangements are in place and any required materials and documentation are prepared in good time;
  • Drafting own correspondence as appropriate and producing fast and accurate audio/copy-typing (using ’Document Direct’ as appropriate), producing documents, letters, emails and memos in English and/or Chinese;
  • Pro-active approach to ensuring that all administration work is completed on a timely basis, using own initiative to pre-empt matters;
  • Assisting in preparing hearing bundles, including e-bundles and formatting documents for filing with the court, handling e-filing;
  • Maintaining effective electronic and hard copy filing systems;
  • New client/matter file opening and closing;
  • Booking, organising and co-ordinating travel for the Hong Kong team as required; and
  • Assisting in preparing and issuing bills to clients.

 

Candidate profile

  • At least three to five years’ secretarial or relevant office experience, of which at least one year should have been spent working in a professional services environment (preferably in an international law/professional services firm);
  • Excellent English and Chinese typing skills;
  • Good eye for detail – a high level of accuracy is essential;
  • Excellent organisational and administration skills – must be highly organised and able to organise others;
  • Ability to support a number of lawyers;
  • A confident and natural communicator - able to communicate at all levels;
  • Ability to be flexible, proactive and to work on own initiative without guidance but seeking help if necessary – confidence to use own judgement in relation to current duties, client needs, etc.;
  • Team player – flexible and willing to take on extra responsibilities to support the Hong Kong team;
  • Accurate numerical skills; 
  • Experience of using all office equipment (e.g. faxes, photocopiers, printers, phones, computer hardware & software, video conference equipment) and being prepared to troubleshoot where necessary, given the appropriate support from London Facilities/IT teams (although full training on our systems will be provided);
  • Ability to work occasional overtime; and
  • Proficient IT skills – Microsoft Office, Word, Excel, Outlook, PowerPoint, Sharepoint, PDF Docs, Word Compare (Deltaview), document management systems and practice management systems, although full in-house training will be provided.
