Our multi-disciplinary Real Estate group is highly regarded by our clients and within the sector. It comprises not only lawyers but town and country planners, RICS surveyors, property managers and sector focused financial advisers.

We’ve brought experts into our services in planning, development, investment, landlord and tenant matters, construction and litigation with a particular emphasis on energy, retail, housing, education, finance and investment funds.

The Real Estate team in Nottingham has a dynamic approach to servicing the needs of their clients, and has witnessed unprecedented growth in the last few years and needs someone committed, ambitious and a team player to join their vibrant team. They work hard, but maintain a sense of fun running throughout the team.

The opportunity

The role:

You will be a key player in this very busy team, providing critical secretarial and administrative support to help our commercial development property legal team, (comprising real estate, construction, planning lawyers and planners) based in Nottingham, to deliver great service to our clients.

You will deal with the production of documents (including sale and purchase contracts, development agreements, funding and construction documentation as well as planning agreements), file set ups, engagement letters and quotes, searches etc. as well as archiving and retrieval of files. You will also deal with SDLT applications, Land Registry applications and assist fee earners on client updates and reports.

We have great but demanding clients and a deserved reputation for quality and speed of response. The team works hard but enjoys celebrating success. We are not hierarchical and appreciate the contribution of all. We can only produce good work if everyone is pulling together! This role would suit someone with solid experience who can handle pressure when needed.

We will consider applications on a full or part time basis. If part time hours are preferred, we would require at least 3 full days a week to be worked, or reduced hours Monday to Friday. Flexibility to cover holidays may be required on an ad hoc basis if part time.

Your key duties will be:

  • providing timely and effective support to requests for assistance from members of the team

  • the accurate production and amendment (by track changes) of correspondence and documentation, including through the use of digital dictation

  • attending to clients in person and on the phone taking messages and assisting where appropriate
  • the use of a case management system to process and progress files

  • managing file opening, closure and archiving

  • producing bills and other financial administration

  • managing diaries for the team, planning and organising meetings and making travel arrangements

  • organising and maintaining departmental filing systems and document storage
  • photocopying, scanning, faxing, printing, filing and other general administrative tasks

Skills and experience you will have:

  • solid previous secretarial experience gained predominantly in property work / conveyancing

  • fast and accurate keyboard skills
  • confidence with IT systems to include Microsoft Word, Excel and ideally PowerPoint
  • a minimum grade C pass at GCSE (or equivalent) in English Language and Mathematics
