The opportunity

The role:

The key feature of this role is to ensure all required tasks of the reception and client services team are completed daily to provide a comprehensive and efficient reception, switchboard and bookings service that meets the needs of the partnership, its internal colleagues and clients. This is a supervisory role within the client services team.

Working hours are on a flexible shift basis covering 8am to 6pm Monday to Thursday and 8am to 5.30pm on Friday, working 37 hours in total per week.

Your key duties will be:

  • the supervision of the reception/client service team
  • ensuring  reception services are delivered with the high standard expected by the firm and the Head of Client services
  • ensuring telephones are answered within the first 3 rings and monitor call logs regularly
  • carrying out the reception  training for new staff and identifying ongoing training needs for the team liaising with your line manager
  • ensuring meeting rooms are maintained to a high standard
  • ensuring  meeting room bookings are managed efficiently and special requests/events are set up as required
  • assisting your line manager with any special projects and events required by the firm
  • updating the team with communications ensuring everyone is regularly informed of new procedures on the service desk
  • ensuring kitchen stocks and meeting room stocks are ordered on time and monitored regularly
  • ensuring daily tasks are completed for reception and the service desk areas, opening and closing procedures are followed
  • managing staffing levels on telephones and front desk when staff sickness occurs
