Meet the team

To provide truly outstanding client service we work as one team.  Our Business Operations Group is made up of business professionals who work with our legal professionals to provide market leading expertise to our clients.  The Groups include; Finance, Operations, HR, Marketing, IT, Risk and the Executive Leadership team.

Our Executive Leadership Team play a crucial role on a full range of Executive matters across the firm. Working closely with our Heads of Operations, Main Board as well as a wide range of stakeholders and individuals in the business, the team help execute the firm’s strategic plan as well as building and shaping our culture.

The team of around 8 is based in Birmingham but do travel to other offices frequently due to the nature of the team’s work.

The opportunity

The role:

We are looking for an experienced Assistant to play a pivotal role providing full administrative and project support to the firm’s Directors who lead the Business Operations Group in Marketing, Operations, Finance and Human Resources.  

This opportunity will be located in the Birmingham office, but on an ad hoc basis, you will be required to travel to the firm’s other offices, at times work unsociable hours, and if required, work extra hours at short notice; this is essential due to the nature of the role.

Your key duties will be:

  • producing documents, briefing papers, reports and presentations
  • dealing with telephone calls or emails on behalf of the Directors and ensuring they are responded to in a timely manner
  • drafting and proof-reading letters and documents to ensure smooth running of Director team activity,
  • representing the Directors, as needed, in dealing with stakeholders across the firm
  • organising and attending meetings and ensuring the team is well prepared for meetings
  • creating reports to ensure consistency of style, format and layout
  • researching and providing key information for use by the Directors and carrying out analysis as requested
  • effectively managing the Directors’ schedules
  • acting as a ‘go to’ person to support the communication flow within the business and from the Director team
  • representing the Directors in dealing with clients, potential recruits and suppliers
  • organising specific ad hoc projects across the firm as and when they are required by the Directors
  • assisting in the administration of Partner recruitment
  • co-ordinating travel arrangements for the Directors when requested
  • any other task or responsibility, not listed above, which may be reasonably requested to be undertaken on behalf of the Directors or firm

Skills and experience you will have:

  • at least six months’ experience in a similar role working for multiple directors on a day to day basis, however, candidates who have experience of working in a demanding and pressurised environment will also be considered
  • previous experience in a legal background is ideal; experience in professional services will be considered
  • the ability to demonstrate excellent administrative, word processing and IT skills with a focus on Excel and Power Point
  • strong written and oral communication skills
  • exemplary attention to detail

Where necessary we will provide either formal or on-the-job training.
