The Department

Our national Real Estate team provides a complete range of legal and advisory services on all aspects of commercial property for both the public and private sector. We advise on and draft heads of terms, development agreements and associated construction, planning and site disposal matters, funding arrangements, freehold transfer and associated due diligence procedures, grant assignment and lease renewals. Our clients range from major retailers, leisure operators, regional developers, local authorities, universities and healthcare providers. We have been involved in a range of projects from £100 million city centre regeneration schemes to smaller bespoke ventures. Our service includes the management of large property portfolios for occupiers and investors, advising on LTA 1954 renewals, easements, covenants, service charges and land registration.

The role
  • To provide support to the designated fee earners within the team by processing typing, managing clients and undertaking amounts of admin as appropriate.
  • To assist the rest of the team during busy times and at times of low staff numbers.  This may consist of working for other fee earners or even for other teams.
  • To work closely with the support team manager/ team manager and admin assistant to ensure the work is completed within the agreed service level agreements and to corporate standards.

Main duties and responsibilities

  • To process all dictation received from the designated fee earners along with any work allocated to them by their support team manager.
  • To achieve and maintain a high level of accuracy.
  • To adhere to the service levels within the team and to ensure that their work is completed within these levels at all times.
  • To liaise with the support team manager over any queries and problems.
  • To pass all holiday and training requests to the support team manager for authorisation.
  • To liaise with the admin assistant to effectively manage their own workload by identifying filing / copying / admin tasks to be undertaken.
  • To work in accordance with the Values of the Firm.
  • To be responsible for their own professional development.
  • To make the support team manager aware of any capacity, particularly in respect of high priority work.
  • To deal with confidential client matters.
  • To provide assistance, where appropriate, in the billing process or archiving files.
  • To resolve minor IT problems and have proficient knowledge of Case Manager system.
  • To update and maintain key dates in the relevant diaries, as well as co-ordinating events and seminars.
  • To cover telephones during absences (lunchtimes etc).
  • To process fee earners expenses via spendvision (training will be given).
  • To organise travel and accommodation as requested by fee earner.
  • To prepare powerpoint presentations as requested by fee earner.

The person specification
  • Extensive legal secretarial experience who is pro-active and works well under pressure
  • Fast, accurate typist with good audio typing skills.
  • Ability to create and amend large, complicated documents (ie automatic numbering, track changes etc).
