The Department

Accidents involving motor vehicles give rise to countless claims and legal actions, affecting every kind of business and non-commercial organisation and their insurers. The sheer volume of cases, and the constant possibility of major costs and resources being involved, can impact seriously on the operational performance of any of the parties involved.

What is needed most in this situation is a service that can help process cases with maximum speed and efficiency and achieve the most satisfactory settlements possible. Weightmans' Motor team is a market leader in this field offering a full service with dedicated teams dealing with fast track, multi track, fraud, credit hire, indemnity issues and representation at inquests and criminal prosecutions.

The role

To provide secretarial support to the fee earners in the team.

Main duties and responsibilities

  • Process all dictations received from the designated fee earners along with any work allocated by the Team Manager and Support Team Manager

  • Create various correspondence and documents under direction and on own initiative

  • Achieve and maintain a high level of accuracy

  • Adhere to the service levels within the team and ensure work is completed within these levels at all times

  • Liaise with the STM or Team Manager over any queries or problems

  • Effectively manage workload by identifying filing/copying/admin tasks to be undertaken

  • Make the STM/Team Manager aware of any capacity, particularly in respect of high priority work
  • Deal with confidential client matters

  • Provide assistance, where appropriate, in the billing process or archiving files

  • Resolve minor IT problems and have proficient knowledge of Case Manager system

  • Update and maintain key dates in the relevant diaries, as well as co-ordinating events and seminars

  • Provide general secretarial support to the fee earners in the team

  • Comply with relevant policies and procedures

The person specification
  • Legal secretarial experience

  • Pro-active and work well under pressure

  • Fast, accurate typist with excellent audio typing skills

  • Ability to create and amend large, complicated documents (i.e. automatic numbering, track changes etc.)

  • Excellent organisation and time management skills

  • Good teamwork skills

  • Flexible approach
