The Department

Our Marketing team is made up of many teams that work together to support Weightmans' marketing processes. The teams include: business development; communications; CRM; events; profile raising; and projects.

The role
  • Manage and maintain accurate and comprehensive client, contact and marketing databases for use in communications and business analysis purposes.
  • Support the marketing team in providing a proactive resource which delivers real value to the firm and assist the team with implementation of marketing plan within budget.
  • Work closely with Database Manager and provide practical assistance to the Head of Communications in delivery of the resources and lead on specific projects as required.

 

 

Key responsibilities

  • Managing, implementing and maintaining contact data for the firm to include both marketing and case related entities.
  • Provision of ‘on the job’ training on data entry capture and protocols to members of the firm where skills gaps are identified.
  • Lead on duplications and running exception reports for de-duplication using appropriate software and liaising with database manager to achieve best results incorporating findings to improve data capture firm wide.
  • Support for InterAction and Mattersphere ticket centres
  • Ensure compliance and security of the data - responsible for protecting data and providing information on potential risks and offering guidance.
  • Maintain quality of the data using feedback, concerns, questions; internally reporting metrics; evaluating and identifying issues; and coordinating and implementing corrections regularly.
  • Investigate data quality - ensuring anomalies/data conflicts are rectified, by using existing reports and identify where new reports/ searches are required for regular maintenance together with addressing the root cause of data inconsistences and recommending improvements to Database Manager.
  • Advising Communications and business development teams on targeting and how best to achieve good results for campaigns; working closely with them to ensure the databases can be used effectively as a communications and business development tool.
  • Understand the organisation’s workflow processes and identify opportunities for automation.
  • Support Database manager on client data and group management in order that a high level of client data capture is maintained in order to facility the firms reporting.
  • Lead on Lapsed client data within InterAction ensuring quality data is retained at client and client personnel level to aid business development and reporting.
  • Support Database Manager data for starters and leavers within the CRM.
  • Support Database Manager on all aspects of the CRM and folder management, auditing and identifying best practice processes.
  • Keep database intranet section up to date.
  • Building relationships with Partners, fee earners, secretarial and management teams to ensure that it becomes ‘best practice’ to update databases and advise on data issues.
  • Carrying out any other tasks that fall within the aspects of the role or the wider team
  • Attending meetings and providing appropriate advice/follow up when required.
  • Keep up to date with data protection regulation and apply to the role and encourage adoption and communication within marketing
The person specification
  • A minimum of four years’ experience in a business to business environment, ideally in professional services
  • Proven experience in data maintenance.
  • Excellent attention to detail
  • Knowledge of latest data protection regulation, guidance and best practice and experience in practically applying.
  • Well developed IT skills – ideally including knowledge of InterAction/Mattersphere
  • Strong analytical skills. Commercial aware and astute.
  • Well-developed project and time management skills plus organisational skills.
  • Experience of multi-tasking; being able to prioritise projects/tasks/assignments and working to tight deadlines.
  • Experience of developing effective relationships with internal clients, including senior partners, advising and challenging them appropriately.
  • Confident, assertive and self motivated.
  • Excellent interpersonal and communication skills (written and oral).
  • Flexible – the role will be based in Liverpool, but the individual will be required to spend time in other Weightmans offices as and when required.
