The Department

The HR Department is responsible for the recruitment, retention and development of Weil employees in London. We are responsible for all employee relations matters, providing advice and support to ensure that performance management is carried out in a timely and appropriate manner, including assisting with general training issues.

The Role

This is a brand new role to join a well-established, friendly and welcoming team.  We are seeking to recruit an enthusiastic and client focussed individual to join our supportive and busy team.

As an apprentice, you will provide administration support to the Human Resources and Recruitment teams.  This apprenticeship is for 16 months initially, whereby you will be fully supported with completing a Level 3 in Human Resources (CIPD).

Key Duties and Responsibilities

Generalist HR

  • Assist and support the Human Resources team with general administration tasks

  • Alongside the HR Assistant, manage all HR filing and archiving

  • Maintain the e-files on Desksite project and update the HR Bible

  • Diary management for the Director of Human Resources and others within the team as required

  • Monitor incoming post for the Director of Human Resources

  • Prepare general standard correspondence for members of the team, e.g. letters, references

  • Preparing induction packs, highlighting any potential issues with the HR Assistant

  • General administration and “Super-user” of the HR system (Workday), including new joiners, leavers, and changes. Run reports from Workday both for the team and other departments when necessary. Act as primary contact within the team for any queries or problems. Liaise with HR Systems in relation to any issues
  • Administration of key dates (5 years’ service etc.), wedding gifts, Outstanding Performance Recognition Award scheme and Attendance Award scheme, ordering flowers, eye tests etc.

  • Provide cover in the absence of the HR Assistant

  • Continually review existing HR processes and procedures, suggesting any efficiencies or improvements as noticed

  • Assisting with monthly HR GDPR processes, ensuring employee information is deleted within required timescales

  • Other ad-hoc projects or duties as required

Lateral Recruitment & Graduate Recruitment

  • Support the Lateral Recruitment and Graduate Recruitment teams with all aspects of recruitment administration, including:

    • Interview organisation; face-to-face; Skype and video conference, some with international logistics

    • Book meeting rooms for interviews

    • Organise international travel

    • Additional ad hoc support with Vacation Schemes

  • Manage the recruitment inbox

  • Provide all candidates with interview confirmation, upholding an excellent candidate experience throughout

  • Process candidate interview expenses

  • Assist in maintaining and managing the Applicant Tracking System (ATS), ensuring it is kept updated at all times

  • Produce contracts of employment

  • Ensure callers receive a consistent, high quality service by taking accurate messages and passing them on promptly

  • Build relationships with third parties (such as recruitment agents, candidates and students), under supervision, by acting as a point of contact

  • Provide support to the Lateral Recruitment and Graduate Recruitment teams in arranging, coordinating and attending recruitment events

  • Learn and comply with firm policies and procedures, ensuring compliance particularly with regards to confidentiality, security , data protection and file retention and destruction requirements

Person Specification
  • Have (or on track to receive) 5 GCSEs A*-C (4-9) including Maths and English or equivalent qualifications

  • Strong organisational skills

  • Excellent attention to detail and accuracy

  • Excellent grammar and spelling

  • Excellent verbal and written communication skills, with the ability to communicate with individuals at all levels

  • Proficient in Microsoft Word, Outlook and Excel (2010)

  • High level of confidentiality

  • Friendly and enthusiastic with a flexible and proactive approach

  • Self-motivated, with the ability to juggle a number of deadlines

  • Willingness to learn, grow and develop

  • Able to work in a team environment
