Global Communications Assistant

The firm

Watson Farley & Williams was established in London in 1982 and is an international law firm dedicated to client care, legal excellence and investment in its people.  The firm has offices in Athens, Bangkok, Dubai, London, Frankfurt, Hamburg, Hong Kong, Madrid, Milan, Munich, New York, Paris, Rome and Singapore.

The firm has seen rapid expansion in size and geography.  Having started as a maritime law firm, in which it remains pre-eminent, the firm is today recognised for its specialist focus on five core sectors: Energy & Infrastructure, Maritime, Natural Resources, Real Estate and Transport in which it provides a full suite of services including finance, corporate, dispute resolution, tax, employment and regulatory.

Key activities/responsibilities

External Communications

  • Maintain the directories planner to include updating each year, checking the research schedule and updating as required; archiving submissions and linking them to the planner; uploading submissions
  • Create first draft of Chambers and Legal 500 reports for the External Communications Manager
  • Maintains the Awards planner including keeping a list of upcoming award submissions and manages deadlines through the planner
  • Follow up with award organisers to get winner / shortlisted logos
  • Coordinate award submissions, ceremony participation and budget approval
  • Create communications to support award wins (including photography)
  • Promote participation in external surveys  
  • Coordinate content for surveys

Brand Management

  • Work with the Graphic Designer to ensure materials are on brand – e.g. assists with image library maintenance and searches, standard logo requests, brand queries etc.
  • Compiling and formatting text content for design materials
  • Proofing design materials

Internal Communications

  • Help support our internal communications campaigns across the firm through publishing of alerts, production and distribution of posters and flyers, assembling and distributing table tops, uploading of media to digital TV screens, etc.
  • Help to recruit, co-ordinate and recognise CSR volunteers for campaigns, including monthly dress down day in the London office, various drives, etc. to ensure that our current CSR engagement levels continue and grow.

Digital

  • Regular website updates including content, imagery, SEO and tagging
  • Uploading new articles, press releases and profile pages to website CMS (Wordpress).
  • Assist with the project management and implementation of changes to the firm’s website.
  • Update brochures where necessary and replace them on the website and intranet.
  • Keep track of our monthly social media analytics.
  • Post external communications on Twitter and Linkedin.
  • Update the firm’s external digital profile (such as Wikipedia, Google+) as directed.
  • Troubleshooting queries on posting and using social media.
  • Update careers page with new vacancies.
  • Content updates to WFW microsites.
  • Check conference planner to identify upcoming news for social media.
  • Updating when required information available on the Intranet Social media page.
  • Updating and posting items to the firm’s intranet.

General matters

  • Review merchandise levels and manages new orders as required
  • Assist with administration, including raising purchase orders and processing invoices
  • Archive leavers
  • Create surveys using Survey Money
  • Responsible for monitoring marketing and info mailboxes
  • Posting news stories and other content to the Intranet
  • Dealing with general queries as required
  • Provide general assistance across the team
Skills and experience – essential
  • English language studied to A-Level as a minimum
  • Strong attention to detail
  • Outstanding written and oral communication skills
  • Excellent organizational skills, including the ability to prioritize workload
  • IT literate
  • Diplomatic, calm under pressure with a ‘can do’ attitude
  • Team player
  • Ability to work on a range of matters for a number of managers within the team.
  • Willingness to learn about the firm
Skills and experience – desired
  • B2B marketing experience, ideally within professional services
  • Good understanding of social media and prior use of HootSuite
  • Basic Photoshop and/or InDesign skills
  • Experience of content management systems (WordPress), online mailing systems (Concep) and InterAction
  • Additional languages (particularly German, French, Spanish or Italian) beneficial
