The department

This role is based within Real Estate, occasionally working alongside Real Estate Finance.

Role overview

The position requires a highly experienced, senior Property LPA providing PA support at Partner level and to several fee earners. The Real Estate team is currently made up of 24 fee earners and 4 Legal PAs.

To provide professional PA support at Partner level and to several fee earners within the Real Estate team. This role is intended to embrace a team-working approach, collaborating with lawyers and other members of support staff to fulfil the needs of the business. In addition to being assigned to a number of specific lawyers, it is expected that a Legal PA will work with every member of the team to ensure that the overall needs of the practice group are met.

 

Key activities/responsibilities
  • Proactively manage mailboxes in terms of diary commitments and meeting room requirements; provide conference dial-in where necessary
  • Assist with the file opening via Inception; set up new matters, draft engagement letters
  • Draft correspondence and communications; amend legal documentation demonstrating excellent Word/formatting skills;
  • Undertake administrative tasks including: expense forms; file management (filing, closing and arranging offsite storage for archives)
  • Knowledge of and experience in both Search flow and Land Registry Forms
  • Deal with enquiries from clients, colleagues and third parties in a prompt and professional manner, providing an effective transfer of information
  • To provide support within the team (covering for other PA absences)
  • Role model a 'can-do', positive work ethic; being decisive, responsible, and taking ownership of issues that arise
  • Play an active role in managing and taking responsibility for the billing process, work closely with the matter partners and our finance team; track specific billing arrangements; attend monthly WIP meetings
  • Liaising with Clients’ accounts department for updated bank details
  • Liaising with our accounts department in relation to monies coming in for completing transactions
  • Preparing for completion – filling out forms and organising signatures;
  • Courier bookings
  • General interest in property transactions / reading incoming emails and acting on information
  • Arranging for documents to be copied / scanned / binding
  • Confident in using data rooms / Share File (uploading and downloading documents)

 

Skills and experience – essential
  • Good technical knowledge in the firm’s core systems – Word, PowerPoint and Excel.
  • Clear and Professional in both written and verbal communication.
  • Highly organised and able to assist others with the management of their practices.
  • Skilled in prioritising multiple tasks and able to remain calm under pressure.
  • Accurate, with high level of attention to detail.
  • Professional and articulate: able to build positive relationships with stakeholders.
Personal skills/attributes
  • Demonstrate a proactive and positive attitude, taking ownership of tasks and managing your own workload
  • Have excellent written and verbal communication skills
  • Be able to work under pressure and remain calm and friendly even in a crisis
  • Have strong IT skills (Microsoft Word, Excel, Outlook, PowerPoint)
