An excellent opportunity has arisen for a Team Administrator to support our Employment and Regulatory teams based in our Grimsby office.

The Role

An excellent opportunity has arisen for a Team Administrator to support 7 fee earners across our Employment and Regulatory teams in Grimsby. The position would suit those with previous administration experience.

The successful candidate will provide general administrative support to these two busy teams, including opening and closing files, taking client calls and providing updates, preparing terms of engagement, invoice breakdowns and monthly billing schedules, managing diaries, conducting research and preparing presentations.

The working pattern will ideally be full time or possibly 4 days per week, with time spread across the two teams.  

Duties will include
  1. Dealing with routine enquiries from internal and external clients and providing updates as requested.

  2. Providing administration support including file openings and preparing engagement letters.

  3. Preparing invoices and drafting breakdowns / cost schedules.

  4. Producing documents and letters using templates on the system.

  5. Carrying out research tasks.

  6. Preparing presentations.

  7. Organising invitations to events and following up on new client contacts.

  8. Responsibility for renewing and updating the Employment Advice Line.

  9. Filing correspondence and documents appropriately.

  10. Coordinating meetings and diary management.

  11. Ensuring stationery levels are maintained within the department.

  12. Carrying out photocopying, scanning and printing tasks as requested.

  13. Preparing minutes and reports.

  14. Typing transcripts of audio interviews, routine correspondence and documents.

Skills Required

Successful applicants must be able to demonstrate:

  • Previous administrative experience

  • A proven ability to be able to work accurately and under pressure

  • An ability to plan and prioritise work activities.

  • An ability to show initiative and establish positive working relationships with colleagues

  • Excellent communication and client care skills

  • Excellent organisation and administration skills

  • Competent IT user – Excel and PowerPoint an advantage.

  • An eye for detail

  • Audio typing experience.

  • Understanding and adoption of the Firm’s values and behaviours.
