Summary

An excellent opportunity has arisen for a Reception Supervisor to join the Facilities department in our Grimsby office.

The Role

The main responsibilities will include providing a professional first point of contact, both face to face and over the telephone, whilst being responsible for the day-to-day supervision of all reception staff, post room / facilities assistants, ensuring all functions are carried out in accordance with agreed procedures and protocols and timescales. Promote a harmonious and professional atmosphere in the public facing role.

Duties will include
  • Inducting and training of new staff to agreed standards.
  • Ensure adequate staffing levels, approve annual and other leave, and organise rotas ensuring all functions are covered as required.
  • Deal with more complex enquiries from customers and stakeholders including formal complaints relating to reception functions.
  • Continually assess and evaluate systems and quality, recommending changes and improvements to the systems as appropriate.
  • Manage day-to-day issues that may arise within the team.
  • Regularly evaluate quality of individual and team performance.
  • Carry out annual appraisal (and mid year updates) with all staff.
  • Hold monthly team meetings.
  • Ensure events are adequately resourced and organised in respect of lunches, seating etc.
  • Deal with general public enquiries from customers (and others).
  • Take messages and pass on to relevant person.
  • Stationary and catering stock audits and ordering.
Qualifications

The ideal candidate for this position will possess excellent communication skills and IT skills, to include Microsoft Outlook and Teams.

Previous reception or customer service experience is essential, preferably at supervisory level.

Ideally, candidates will also have experience of:

  • Switch Board operation
  • Undertaking reviews
  • Understanding of Apprenticeship schemes
