Summary

An excellent opportunity has arisen for an Apprentice Administration Assistant to join our Document Production Specialist team in Beverley.

The Role

The successful applicant will assist in providing high quality, efficient administrative support to fee earners with a focus on excellent customer service and continuous improvement.

The role will also include providing a professional first point of contact to clients, both face to face and over the telephone and assisting with the overall smooth running of the office. 

The position will initially be for a 12 month period and will provide the successful candidate with an opportunity to gain work based experience whilst working towards an NVQ level 2 in Business Administration.

Duties will include
  1. Assist DPS with collation of documents;
  2. Preparation of document bundles for fee earners to include pagination;
  3. Upload documents to disc;
  4. File, photocopy, scan and fax documents as and when required;
  5. IT literate to include Microsoft Office, Liberate and bespoke software packages;
  6. Help and maintain a clean office and clear desk;
  7. Handle confidential information in line with the firm’s data security protocols.
  8. Answer all incoming calls promptly and direct them to the appropriate person.
  9. Deal with routine and difficult enquiries from telephone callers and visitors effectively, efficiently and professionally.
  10. Convey messages clearly, quickly and accurately.
  11. Assist extension users with such problems that may arise.
  12. Sign in arrivals.
  13. Obtain signatures for all goods collected on the appropriate form.
  14. Check deliveries and sign paperwork.
  15. Take all post delivered during the day to a Partner before distributing.
  16. Maintain the appearance of the reception area.
  17. Book meeting rooms and inform staff of availability.
  18. Ensure reception area is kept presentable at all times.
  19. Other duties as required by Branch Partner.
