Summary

An excellent opportunity has arisen for a Receptionist / Office Assistant to join our Facilities team in our Louth office.

The Role

The main responsibilities will include providing a professional first point of contact, both face to face and over the telephone and assisting with the overall smooth running of the office, including assisting colleagues with photocopying and assisting with the post, as well as other general admin support tasks.

The position will be for an initial 12 month period. 

Duties will include
  1. Answering incoming calls promptly and directing them to the appropriate person.
  2. Dealing with routine and difficult enquiries from telephone callers and visitors effectively, efficiently and professionally.
  3. Conveying messages clearly, quickly and accurately.
  4. Assisting extension users with such problems that may arise.
  5. Signing in arrivals.
  6. Obtaining signatures for all goods collected on the appropriate form.
  7. Checking deliveries and sign paperwork.
  8. Booking meeting rooms and informing staff of availability.
  9. Ensuring reception area is kept presentable at all times.
  10. Collecting, opening, preparing and distributing the mail and DX.
  11. Photocopying, printing and/or scanning all documents and bundles of documents as requested, using appropriate machine.
  12. Arranging, ordering and providing catering for meetings and events.
  13. Ensuring all meeting rooms are cleared and left tidy after meetings/events.
  14. Assisting Solicitors with filing and taking on administrative tasks to maintain efficient systems.
  15. Providing general administrative support to the office as needed. 
Qualifications

Excellent communication skills and basic IT skills are a requirement for this position and previous reception or customer service experience will be an advantage.
