The role

Specific Duties:

Assistant duties:

1. Assisting the team leader and team in dealing with the sales of plots on a day to day basis.

2. Assisting the team leader with their preparation for overseas launch weekends for new developments and the set-up of legal packs for our clients.

Standard plot sales

1. Receive Client instructions – using relevant plot sales database ("PSD") load all information onto system

2. Process letters to buyers conveyancer and to client, and produce sale contract with plans and appropriate lease or transfer document

3. With all clients our remit is to issue contracts within 24-48 hours of receipt of instructions

4. After exchange of contracts update PSD and then process exchange memorandum and letter to client detailing exchange

5. Diarise to check deposit received after exchange, then after deposit paid has cleared generally send deposit to client (if contract states that deposit is to be held as agents)

6. Email client/head office (as required by each client) giving full details of exchange of contracts, i.e. completion date deposit amount etc

7. If plot is not build complete when we are in receipt of NHBC Cover Note together with client instructions to serve notice to complete – using relevant PSD process completion statements and notice letter to send with replies to requisitions on title, NHBC Cover Note and up to date insurance schedule

8. Deal with any further requisitions raised

9. Using PSD prepare engrossments of lease and counterpart or transfer in triplicate together with full plans and bind documents.

10. Using PSD process letters sending engrossments to buyers’ conveyancer and client, management co. etc.

11. Using PSD process completion work to include letter to buyers conveyancer with all necessary documents, e.g. Power of Attorney, consent to dealing, discharge of part etc, if applicable, statements to client and management company, TT letter to Bank, BACS letter to Bank and invoices

12. Post-completion work - dealing with Land Registry requisitions

13. Notices of charge – receiving and receipting

14. Receiving counterpart lease or duplicate transfer, ensuring that they are scanned into the system and either sending to management company for safe-keeping or sending to deeds storage (using client system)

15. Internal matters – process all necessary work to ensure nil balance is shown on ledger accounts so that ledger can be closed and that file is in order to send to archiving

16. Any other necessary admin duties to ensure the smooth running of all conveyancing transactions.

Client base and type of work

Assisting the team in dealing with the sales of plots for House Builder clients i.e. running a plot sale throughout the Conveyancing process including assisting with enquiries and taking client instructions.

To offer value for money and to provide a first class plot sales service to our clients, ensuring that we meet their needs at all times.

Candidate specification

The role requires someone:

  • With some experience in plot sales for house builders or some experience in general residential property ideally. However applicants with no experience will be considered.
  • Who is organised and systematic
  • With the ability to deal with clients face to face, by email and over the phone
  • Who is enthusiastic, pro-active and enjoys a "hands on" approach to work
  • Who enjoys lots of "people" contact at every level
  • Who is motivated to succeed and keen to learn
  • With the ability to anticipate the ‘next move’ in any transaction following suitable training.
