The role

Specific Duties:

Standard plot sales

  1. Receive Client instructions – using relevant plot sales database (PSD) load all information onto system (if Sale and Leaseback Licence/Rental Guarantee Scheme or Deed of Covenant and Assignment required prepare Additional Matters sheets for Contract)
  2. Process letters to buyers’ conveyancers and client, and produce sale contract with plans and appropriate lease or transfer document then bind contracts,
  3. NB with all clients our remit is to issue contracts within 48 hours of receipt of instructions
  4. Deal with any additional enquiries raised by the buyers’ conveyancers and refer to Team Leader with queries.
  5. Exchange contracts using Law Society Formulae.
  6. After exchange update PSD and then process exchange memorandum, letter to client detailing exchange and letter to client enclosing deposit cheque after deposit paid has cleared make deposit request from accounts to send deposit to client
  7. Email client/head office (as required by each client) giving full details of exchange of contracts, i.e. completion date deposit amount etc
  8. Telephone sales office or sales officer and advise exchange
  9. If plot is not build complete when we are in receipt of NHBC Cover Note together with client instructions to assist the team in serving notice to complete – using relevant DB process completion statements and notice letter to send with replies to requisitions on title, NHBC Cover Note and up to date insurance schedule
  10. Using PSD prepare engrossments of lease and counterpart or transfer in duplicate together with full plans and bind documents. 
  11. Using PSD process letters sending engrossments to buyers’ conveyancers and client, management co. etc.
  12. Using PSD process completion work to include letter to buyer’s conveyancers with all necessary documents, e.g. Power of Attorney, consent to dealing, discharge of part etc, if applicable, statements to client and management company, TT letter to Bank and completing accounts pink receipt forms as necessary, request cheque for any apportionments due on completion to management company, where applicable with relevant letter.

Post-completion work:

  1. To assist with Land Registry requisitions
  2. Notices of charge
  3. Receiving counterpart lease or duplicate transfer and either sending to management company for safe-keeping or sending to deeds storage (using client system)

Internal matters – process all necessary work to ensure:

  1. Nil balance is shown on ledger so that file can be closed
  2. Ensure a paper light environment with a clear desk policy.
  3. Ensure files are in order and all signed documents are scanned and saved prior to sending to archiving
Client base and type of work

Dealing with the sales of plots for House Builders and/or Registered Social Landlord clients e.g. Barratts, Mount Antvil, Berkeley

Candidate specification

The role requires someone with 

  • Some experience of plot sales or residential property

  • Ability to deal with clients

  • Enthusiastic, pro-active and enjoys a “hands on” approach to work

  • Enjoys lots of “people” contact
