HR Administrator and Partnership Support

The role


Dealing with general HR administrative queries and providing administrative secretarial support for the HR Director, COO and Managing Partner.


HR Administration

  • General HR administration, to include filing, e-filing and training course bookings

  • Take references through Experian, and generate reference responses

  • Organise the induction programme for new staff, producing relevant documentation and scheduling the training in diaries
  • Liaise with the Senior Payroll Administrator as required, and maintain an overview of the HR/Payroll process
  • Maintain the staff movements spreadsheet
  • Monitoring of holiday entitlement and sickness absence, updating records as required

  • CQS renewal and panel membership maintenance e.g. Lender Exchange and LMS
  • Assist with the firm’s training programme, ensuring documentation is copied and supplied and that follow up questionnaires are sent to attendees and attendance recorded

  • Prepare cheque requisitions for training courses, season ticket loans, memberships etc.

  • Assist with the maintenance of diaries as required, booking appointments and reminders for meetings and trial periods

  • Assist in projects as required by the HR Director or the Head of HR eg appraisal and salary review process
  • Manage the PC renewal process and update the firm’s SRA records when needed
  • Assist the Recruitment Manager with administrative support where needed for trainee and lateral recruitment processes and maintaining the recruitment system databases, as required

PA Support

  • Provide secretarial and general administrative support to the HR Director, COO and Managing Partner which includes producing general correspondence, agendas and documents and diary management

  • Drafting offer letters and other appointment documents for Partners and ensuring copies are signed, returned and filed

  • Assisting with the annual renewal of partner letters and documentation

  • Update the firm’s SRA records when needed

  • Preparation of agendas and Board packs ensuring papers are prepared and circulated in a timely manner and any actions are progressed as appropriate



Candidate specification

The individual is expected to be discreet and maintain confidentiality at all times, as they will have access to confidential employee and partner records.  They are expected to use their initiative, be self-motivated, proactive and willing to assist as necessary.  Communication skills are essential and the person will be expected to liaise and feedback to the HR Director and the Head of HR.
