The role

We are looking for a responsible Administration Assistant to perform a variety of administrative and secretarial tasks. The role will rotate around different departments learning different skills. The Departmental Assistant will provide administrative support to the team. Duties include providing support to partners and employees, providing secretarial support, assisting in daily office needs and managing administrative activities.

Duties include but are not limited to:

  • Answer and direct phone calls ensuring all messages are relayed quickly and accurately

  • Type and prepare legal documents, emails and general correspondence to a high standard using advanced word processing skills, either from digital dictation or occasionally longhand

  • Organise and schedule appointments for partners and lawyers

  • Plan meetings and take detailed notes

  • Process letters/emails internally and to clients and assist with document production

  • Sorting incoming post and DX (allocation, scanning and saving)

  • File openings, conducting conflict checks and saving initial correspondence to files

  • Making travel and meeting arrangements

  • Maintaining filing systems

  • Submitting expense reports

  • Any other admin duties to ensure the smooth running of all department activities

  • Reception work including front of house duties


Candidate specification


This role is an apprenticeship and as such, alongside your role, you will be undertaking training towards a City and Guilds Level 3 Business Administration qualification.

You will be serving the needs of the team as a whole and undertaking both routine duties and ad hoc projects as required.
